Position Summary:
RISE Charter School is seeking a highly organized and detail-oriented individual to serve as the Board Clerk. This individual will work directly with the Executive Director to support the governance of the school by assisting with the preparation, organization, and documentation of regular and special Board meetings. The Board Clerk will ensure adherence to Open Meeting Laws, assist in implementing Robert’s Rules of Order, and facilitate smooth operation of Board activities. This position requires a strong sense of responsibility, confidentiality, and the ability to handle multiple tasks in a timely and effective manner.

Key Responsibilities:

  1. Meeting Preparation:
    • Collaborate with the Executive Director to prepare the monthly regular Board meeting agenda and all supporting documents.
    • Prepare agendas and supporting documents for special or executive meetings as needed, ensuring accuracy and completeness.
    • Post meeting notices within the required timelines to ensure compliance with Open Meeting Laws.
  2. Compliance & Governance:
    • Adhere to all Open Meeting Laws to ensure transparency and proper notification of Board meetings.
    • Learn and regularly review Robert’s Rules of Order, assisting the Board Chair in maintaining order and decorum during meetings.
    • Regularly review and familiarize yourself with school policies and procedures; work with the Executive Director to add policies to the meeting agenda for annual review.
  3. Guest Coordination & Executive Sessions:
    • Schedule and coordinate any guests for executive sessions, ensuring all participants are informed and arrangements are made.
  4. Logistics & Setup:
    • Ensure that the meeting space is prepared, including setting up necessary equipment (AV technology, seating arrangements, etc.), and ensuring all materials are available for Board members and attendees.
  5. Documentation & Records:
    • Take detailed minutes during Board meetings, ensuring accurate record-keeping of discussions, decisions, and actions taken.
    • Maintain official records of meeting minutes and other key documents in an organized, accessible manner.
    • Post minutes publicly within required timelines
  6. Additional Responsibilities:
    • Assist with any additional duties necessary for the proper functioning of the Board and to ensure smooth execution of all Board-related tasks.

Required Qualifications:

  • Strong organizational and time management skills with attention to detail.
  • Ability to work effectively and collaboratively with the Executive Director, Board members, and other stakeholders.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Comfort with technology and proficiency in tools like Microsoft Office (Word, Excel, PowerPoint), Zoom and Google Suite.
  • Strong understanding of Open Meeting Laws or a willingness to quickly learn.
  • Willingness to learn Robert’s Rules of Order and apply them as needed during Board meetings.
  • Ability to be flexible and adapt to the changing needs of the Board and school.

Preferred Qualifications:

  • Previous experience in an administrative or board support role.
  • Familiarity with charter school governance or educational settings.
  • Knowledge of school policies and the charter school environment is a plus.

Position Type:

  • Part-Time –starting at approximately 10 hours per month
  • Non-Exempt

Work Environment:

  • The Board Clerk will be expected to attend monthly Board meetings, special sessions, and occasional executive sessions in person or virtually, depending on the format of the meeting.
  • The role may require flexibility in working hours, particularly during meeting preparation periods.

Compensation:

  • Compensation commensurate with experience. Benefits will not be offered with this position.
